TIME TO CLOSE

The same deal, days faster.

A signature is where a sales cycle quietly loses days. Put the old paper route next to one Document eSign link and the difference is the whole point - the agreement is the same, the close is not.

USE CASES

Use cases for electronic signatures in sales.

Almost every document a revenue team sends can be signed electronically under the ESIGN Act and your state’s UETA, each carrying the same legal weight as wet ink with a full audit trail. Order forms, MSAs, statements of work, and proposals are all binding once signed, and they come back sealed with a certificate of completion that a scanned paper copy cannot match.

LEGAL VALIDITY

Are electronic signatures binding for sales agreements?

Yes. A sales electronic signature carries the same legal weight as wet ink in the United States: order forms, master service agreements, statements of work, proposals, and renewals signed electronically are valid and enforceable under the federal ESIGN Act of 2000 and state UETA laws.

Outside the US, the same holds under the EU’s eIDAS regulation, where Document eSign meets the Simple (SES) and Advanced (AdES) electronic signature standards.

A signed order form or a counter-signed MSA is binding the same way a wet-ink one is, and it comes back stronger. Document eSign records each signer’s email and IP address with a timestamp for every action - sent, opened, consented, and signed - then binds the finished document with a PAdES-B seal. That seal is a cryptographic fingerprint of the file at the instant of signing: change a single character afterward and the seal no longer matches, so any compliant reader flags the document as altered.

Sales agreements almost never require notarization, and Document eSign does not provide remote online notarization - if a specific document is one of the rare instruments a statute requires to be notarized or wet-signed, confirm the rule for that document and jurisdiction. Almost every other commercial agreement can be signed electronically.

What makes a signature hold up

  • Intent to sign - the signer deliberately applies their signature
  • Consent to sign electronically - captured before the document opens
  • Attribution - the signature is tied to the signer, their email, and their IP
  • A retained record - a tamper-evident copy and audit trail you can reproduce

FAQ

Sales e-signatures, answered.

Are e-signed sales contracts legally binding?

Yes. Master service agreements, order forms, NDAs, statements of work, and proposals signed electronically are valid and enforceable under the U.S. ESIGN Act of 2000 and state UETA laws, and under the EU's eIDAS regulation, provided the signer intended to sign, consented to sign electronically, the signature is attributed to them, and a record is kept. Document eSign captures all four on every envelope. A signed order form or a counter-signed MSA is binding the same way a wet-ink one is, and it comes back with a certificate of completion and a full audit trail that a scanned paper copy cannot match. Almost every commercial sales document qualifies; the rare exceptions are instruments a statute requires to be notarized or wet-signed.

How much faster does e-signing actually close a deal?

It collapses the slow part of a close - the printing, emailing, chasing, and scanning - into a single signing link. Where the old paper route could stretch a signature across several days as a PDF bounced back and forth, a prospect can open your order form, agree, and sign in the browser within minutes of receiving it, then your account executive is released to counter-sign automatically. The deal moves from sent to signed-and-sealed in one sitting rather than across a week of follow-up. We frame the contrast as roughly four days the old way versus signed today as an illustration of where the friction goes, not a measured guarantee - your own cycle depends on how quickly the buyer is ready to sign.

Can I send the same agreement to many prospects at once?

Yes, on a paid plan. Bulk send takes one approved template plus a CSV of recipients and generates a separate, personalized envelope for each prospect - up to 5,000 in a single batch - so outbound order forms, renewal notices, or partner agreements go out at scale without you building each one by hand. The template's merge fields fill in each prospect's name, company, amount, and any other detail from the row, and each recipient gets their own signing link and their own audit trail. Live status shows the whole batch moving from sent to viewed to signed, and any rows that fail are exported so you can fix and resend them. The Free plan sends one envelope at a time; bulk outbound is a Business feature.

Can a customer sign before my internal approver?

Yes. Set a sequential routing order once on the template: the customer is notified and signs first, and the moment they finish, your internal approver - a sales lead, finance, or legal - is automatically released to counter-sign. The buyer never sees an internal step before they sign, and your approver never has to watch their inbox, because each party is released in turn. Automatic reminders keep the envelope from stalling if someone goes quiet. This mirrors how a real deal closes: the customer commits, then your side counter-signs to make it final, all on one envelope with one shared audit trail and one certificate of completion rather than two documents you have to reconcile later.

Do customers need an account to sign a contract?

No. Customers open a secure link from their email and sign directly in the browser - there is no signup, no app to install, and nothing to download. That matters most at the close, where any extra step is a reason for a deal to slip. The prospect reviews the agreement, agrees to your consent wording, and signs by typing or drawing, and the completed document comes back to you sealed with its audit trail. For routine documents like NDAs you can go a step further and publish a public self-serve link, so a prospect can request and sign without you sending anything individually. Only people inside your workspace need a Document eSign account; the people you send to never do.

Can prospects sign on a phone?

Yes. The entire signing experience runs in the mobile browser, so a prospect can review and sign a contract, NDA, order form, or proposal from a phone or tablet with nothing to install and no account to create. They tap the link in their email, read the document, agree to your consent wording, and sign by typing or drawing - producing the same legally binding signature and the same audit trail they would get on a laptop. For a sales team this is what keeps a deal moving when your buyer is between meetings or travelling: they can close their part in a couple of minutes from wherever they are, and you see it land in your workspace, sealed, the moment they finish.

Can I send a signer to our onboarding page after they sign?

Yes, on a paid plan. Set a redirect on completion and the moment a customer finishes signing they land on a URL you choose - a thank-you page, your product dashboard, an onboarding flow, or a payment page. That closes the gap between a signed deal and a started one: instead of a signer hitting a generic confirmation screen and then waiting for someone to follow up, they go straight into the next step while the intent is fresh. The signed agreement is also mirrored to your connected cloud storage automatically, so your records stay in sync without anyone re-uploading the file. Redirect on completion and cloud backup are Business features; the core signing works on every plan including Free.

Does it integrate with our CRM like Salesforce or HubSpot?

Not natively today. There is no built-in Salesforce or HubSpot connector yet, so you send from the Document eSign app, or in bulk from a CSV you export from your CRM, and the signed PDFs mirror back to your connected cloud storage. In practice that covers most outbound: export your prospect list, bulk-send a personalized order form or MSA to the whole batch, and pull the signed copies into wherever you keep records. A public REST signing API and native CRM integrations are on the roadmap, so this is something we expect to improve - but if a one-click CRM sync is a hard requirement for you right now, it is fair to confirm where that work stands before you commit.

How do I know when a prospect has opened or signed?

Live status shows each document move through sent, viewed, and signed in real time, so you can see exactly where a deal is without emailing to ask. Every one of those events - sent, opened, consent agreed, signed - is timestamped on an append-only audit trail along with the signer's email and IP address, and the finished envelope carries a certificate of completion that records the whole sequence. Automatic reminders go out if a signer stalls, so you are not the one nudging. For a pipeline this means you can tell a stuck deal from a closed one at a glance, and when a contract is ever questioned you have a defensible record of who opened it, when, and from where, rather than a vague memory of an email thread.

Are signed agreements sealed, and do they ever get deleted?

On paid plans, every completed document is sealed with a SHA-256 hash and an embedded PAdES-B signature plus an independent TSA timestamp, so any change to a single character after signing breaks the seal and is flagged as altered in any standards-compliant reader. Nothing is auto-deleted or expired: a signed MSA or order form stays in your workspace until you choose to remove it, so a contract you closed two years ago is still there with its certificate intact. You can export any completed PDF and its audit trail at any time and keep your own copies wherever your team stores records. Document eSign does not provide remote online notarization, which sales agreements almost never require.

Is there a free plan to start?

Yes. The Free plan includes unlimited envelopes and two reusable templates with a full audit trail on every document, which is enough for a small team to send and counter-sign MSAs, NDAs, and order forms without paying or entering a card. As your revenue motion grows, the Business plan adds team members, bulk outbound from a CSV, redirect on completion, custom branding, a bring-your-own email domain, in-person signing, and cloud backup. The core signing, the routing from customer to approver, and the legal validity are identical on every plan including Free - you move up for scale and outbound volume, not for enforceability. You can start on Free today and only upgrade when the bulk and branding features earn it.
