SCOPE OF RECORD

What you promised is exactly what gets signed.

A service agreement pins down the deliverables, the fee, and the term. Put all three on the page, get it signed, and the sealed copy becomes the single scope of record both sides are held to.

ONE AGREEMENT PER CLIENT

Build the service agreement once, reuse it for every client

Save your standard service agreement as a template with role placeholders and pre-placed fields, then reuse it for each new client without rebuilding the document. The deliverables, the fee, and the term live in the same clean layout every time, so onboarding a new engagement is a two-minute job: pick the template, fill the client details, and send.

  • Role placeholders for client and your team
  • Pre-placed signature, fee, scope, and date fields
  • Duplicate the template to branch a variant per engagement

SCOPE & TERMS ON THE PAGE

Put the scope, the fee, and the dates right where they sign

Drag scope, fee, billing-cadence, and date fields straight onto the agreement so the commercial terms are captured on the page, not buried in an email thread. Every field is part of the signed record, which means the deliverables and the price your client agreed to are the exact deliverables and price you can point to later.

  • Scope, fee, start date, and renewal fields on the document
  • Required fields so nothing is left blank before signing
  • Captured into the signed copy, not a separate note

SEALED ON SIGN

The agreement locks the instant it is signed

The moment the client and your team sign, the service agreement is sealed with a SHA-256 hash and an embedded PAdES-B signature, and the certificate of completion is ready. Change a single character after signing and the seal no longer matches, so any compliant reader - Adobe Acrobat included - flags the file as altered. The scope you agreed to is the scope that stays locked in.

  • Tamper-evident PAdES-B seal on the executed agreement
  • Certificate of completion ready the instant it closes
  • Verifiable in Adobe Acrobat by anyone you send it to

LEGAL VALIDITY

Are service agreements signed online legally binding?

Yes. A service agreement signed online is as enforceable as one signed in ink. In the United States it holds under the federal ESIGN Act of 2000 and state UETA laws, which give an electronic signature the same legal effect as a handwritten one.

Outside the US, the same holds under the EU’s eIDAS regulation, where Document eSign meets the Simple (SES) and Advanced (AdES) electronic signature standards.

When an engagement is questioned, the signed agreement plus its audit trail is what settles it. Document eSign writes the scope, fee, and term into the signed copy, records each signer’s email and IP address with a timestamp for every action - sent, opened, consented, and signed - then binds the finished agreement with a PAdES-B seal. That seal is a cryptographic fingerprint of the file at the instant of signing: change a single character afterward and the seal no longer matches, so any compliant reader flags the agreement as altered.

A few documents - certain deeds, wills, and instruments a statute requires to be notarized or wet-signed - may still need traditional execution, and Document eSign does not provide remote online notarization. These rarely apply to a commercial service agreement, but confirm the rule for the specific document and jurisdiction.

What makes a signed agreement hold up

  • Intent to sign - the signer deliberately applies their signature, logged as an action
  • Consent to sign electronically - agreed before signing and recorded on the certificate
  • Attribution - the signature is tied to the signer, their email, and their IP
  • A retained record - a tamper-evident copy and audit trail you can reproduce

FAQ

Signing service agreements online, answered.

Are service agreements signed electronically legally binding?

Yes. A service agreement signed electronically is legally binding in the United States under the ESIGN Act of 2000 and state UETA laws, and in the EU under the eIDAS regulation, as long as four things are present: the signer intended to sign, consented to sign electronically, the signature is attributed to them, and a record is retained. Document eSign captures all four on every agreement. Each signed copy is sealed with a SHA-256 hash and an embedded PAdES-B signature and comes back with a certificate of completion and the full audit trail, which is the proof you would put in front of a court or a client in a dispute. The narrow exceptions are documents a statute requires to be notarized or wet-signed, which rarely apply to a commercial service agreement, so confirm the rule for your document type and jurisdiction.

What happens when the scope changes after the agreement is signed?

You handle scope changes with a signed amendment or change order rather than editing the original, because the signed copy is sealed and any change to it would break the tamper-evident seal. Save your service agreement as a template, then duplicate it to spin up a change order or addendum that references the original, lists the new deliverables or fee, and routes to the same parties for signature. The amendment seals into its own certificate of completion, so you end up with a clean chain: the original agreement plus every signed change, each one provable and timestamped. That chain is exactly what you want when a client later asks what was actually agreed, because the answer is on record in the documents themselves rather than in a scattered email thread.

Can I capture a monthly retainer or recurring term in the agreement?

Yes. The fee, the billing cadence, the start date, and the renewal term are all fields you place directly on the agreement, so a monthly retainer, a quarterly billing schedule, or an auto-renewing twelve-month term is captured on the page and signed along with everything else. Because those terms are part of the signed record, the price and the recurring commitment your client agreed to are the exact terms you can point to when an invoice goes out or a renewal comes up. Document eSign handles the signature and the sealed record of the agreement itself; it does not run the recurring billing, so you pair the signed retainer with your own invoicing or payment tool. When the term ends, you can duplicate the template and send a renewal in a couple of minutes.

If a client disputes what was delivered, how does the signed agreement help?

The signed agreement is your record of exactly what was promised, and the audit trail is what makes it hold up. Document eSign writes the deliverables, milestones, fee, and term into the signed copy, then seals that copy with a SHA-256 hash and a PAdES-B signature so it cannot be altered afterward. Alongside it sits an append-only audit trail that records each event in order - sent, viewed, consented, signed, and completed - with the signer's email, IP address, approximate location, device, and timestamp. So if a client argues the scope was different, you can show the signed document, prove it has not been touched since signing, and prove who signed it and when. That package settles most disputes before they escalate, because the scope of record and the proof of agreement travel together in one file.

Can I reuse the same service agreement for every client?

Yes, and reuse is the point of how Document eSign handles service agreements. Save your standard agreement as a template with role placeholders and pre-placed scope, fee, and date fields, and every new client starts from the same clean layout instead of a rebuild. You can duplicate the template to branch a variant - a different retainer, a longer term, an extra deliverable - without touching the original, so a one-page consulting agreement and a full master services agreement can both live in your library. For a business that signs the same agreement with client after client, this turns each new engagement into a quick job: pick the template, fill the client and the fee, and send. The free plan includes reusable templates, and paid plans raise the limit as your library grows.

Can the client sign the service agreement from their phone?

Yes. Signing runs entirely in the mobile browser, so your client can review and sign a service agreement from a phone or tablet with nothing to install and no app to download. The client taps the secure link in their email, reads the agreement and the scope, agrees to the electronic-signing consent, and signs by typing or drawing, producing the same legally binding signature and audit trail they would get on a laptop. As the sender, you can also build, send, and track agreements from your phone, so an engagement agreed in a meeting can be routed for signature before everyone leaves the room. The completed, sealed agreement lands back in your workspace the moment the last party signs, viewable from the same device.

Can my team approve the agreement after the client signs?

Yes. Add every party to one envelope and choose sequential routing so the client signs first, then your account lead and finance counter-sign and approve in order, each notified at their turn. You can also add viewers who get a read-only copy and CC recipients who receive the completed file, so internal review and the client signature live on a single agreement with one audit trail rather than scattered across separate emails. Automatic reminders keep the chain moving if someone stalls, and you can see exactly who you are waiting on from your dashboard. When the final signature lands, every party receives the same sealed copy and the same certificate of completion, so your client and your team are working from one identical version of the agreement.

Can I attach exhibits, schedules, or a statement of work to the agreement?

Yes. Bundle exhibits, fee schedules, statements of work, and addenda into one envelope so everything is signed together and sealed into the same certificate of completion. That keeps the full scope of an engagement in a single signed package rather than a master agreement in one place and its schedules in another. Each attached document is part of the same sealed file, covered by the same tamper-evident seal and the same audit trail, so there is no question about which version of a schedule was in force when the agreement was signed. If a schedule needs to change later, you send it as a signed addendum that references the original, and it joins the chain with its own certificate.
