Unlimited HR documents · ESIGN & UETA · No credit card
When the handbook or a policy changes, the hard part is not sending it - it is proving every employee acknowledged it. Send to the whole company at once, watch the acknowledgments fill in, and export the full record for any audit.
Policy acknowledgment · company-wide
95% complete · 8 employees outstanding
When the handbook changes or a new policy goes out, you should not be emailing it person by person. Upload the document, attach a CSV of your staff, and bulk send creates a separate, personalized copy for everyone in one job. Each employee gets their own link, their own signature, and their own sealed record, and you watch the batch fill in from a single screen.
Save your employment agreement, handbook acknowledgment, and each policy form as a template with merge fields for name, role, and start date. The next rollout or new hire starts from the same clean layout instead of being rebuilt, and you can duplicate a template to branch a version per role, location, or department without touching the original.
Each signed HR document carries a certificate of completion and an append-only audit trail recording every event in order, with the signer's IP address, approximate location, device, and authentication method, all timestamped. The finished file is sealed with a SHA-256 hash and an embedded PAdES-B signature, so the proof of who acknowledged what, and when, travels with the document and exports cleanly for any audit.
Almost every HR document can be signed electronically under the ESIGN Act and your state’s UETA, each carrying the same legal weight as wet ink with a full audit trail. From a single employment agreement to a company-wide policy acknowledgment, the same template, bulk send, and sealed certificate apply.

Yes. An employment agreement, handbook acknowledgment, or policy form signed online is as enforceable as one signed in ink. In the United States it holds under the federal ESIGN Act of 2000 and state UETA laws, which give an electronic signature the same legal effect as a handwritten one.
Outside the US, the same holds under the EU’s eIDAS regulation, where Document eSign meets the Simple (SES) and Advanced (AdES) electronic signature standards.
When an acknowledgment is questioned - did this employee actually receive and agree to the policy - the audit trail is what settles it. Document eSign records each employee’s email and IP address with a timestamp for every action - sent, opened, consented, and signed - then binds the finished document with a PAdES-B seal. That seal is a cryptographic fingerprint of the file at the instant of signing: change a single character afterward and the seal no longer matches, so any compliant reader flags the document as altered.
A few documents - certain forms a statute requires to be notarized or wet-signed - may still need traditional execution, and Document eSign does not provide remote online notarization. Confirm the rule for the specific form and jurisdiction. Almost every routine HR document can be signed electronically.
Upload a handbook or policy, bulk-send it to the whole company, and collect a sealed acknowledgment from every employee - with a complete record of who signed and when.

Yes. Employment agreements, handbook and policy acknowledgments, NDAs, and onboarding forms signed electronically are legally binding in the United States under the ESIGN Act of 2000 and state UETA laws, and in the EU under the eIDAS regulation, as long as four things are present: the employee intended to sign, consented to sign electronically, the signature is attributed to them, and a record is retained. Document eSign captures all four on every HR document. Each signed file is sealed with a SHA-256 hash and an embedded PAdES-B signature and comes back with a certificate of completion and the full audit trail, which is the proof you would put in front of an auditor, a regulator, or a court if an acknowledgment is ever questioned. The narrow exceptions are documents a statute requires to be notarized or wet-signed, so confirm the rule for that specific form and jurisdiction.
Yes, and this is the core of how Document eSign handles HR documents. Bulk send takes one template and a CSV of your employees and creates a separate, personalized envelope for each person, so a 10-person team or a 1,000-person company each get their own copy to sign rather than a single shared file. Every employee signs from their own secure link with no account, and each acknowledgment comes back sealed with its own certificate of completion and audit trail. This is how you roll out an annual handbook refresh, a new code of conduct, or an updated security policy in one job instead of chasing people individually, and you watch the batch fill in from a single screen as signatures land.
Every rollout gives you a live completion view: how many employees have signed out of how many were sent, and the status of each person, whether they have signed, been reminded, or not yet opened the document. You can send a one-click reminder to anyone still outstanding, and automatic reminders keep nudging people who have not acknowledged yet, so you are not manually tracking a spreadsheet of who is left. When the rollout is complete you have a signed acknowledgment from every employee, each with its own timestamp and audit trail. For a compliance review you can export the full acknowledgment record for the whole company, which is the evidence that everyone received the policy and confirmed they read it.
Yes. Bundle the I-9, NDA, employee handbook, and any policy forms into one envelope so a new hire signs everything in a single flow rather than receiving a string of separate emails. Each document keeps its own fields and signature blocks, and the whole packet is sealed into one certificate of completion when the employee finishes, so their entire first-day paperwork lands on the record as a single, dated event. You can save that bundle as a reusable template, which means the next hire's onboarding packet generates in seconds with their name, role, and start date merged in. The employee signs from any device with no account, and you get every form back, sealed and filed, without collecting paper.
Yes, and the record is built for exactly this. Every signed HR document carries an append-only audit trail and a certificate of completion that records each event in order, sent, viewed, consented, and signed, along with the employee's email, IP address, approximate location, device, and authentication method, all timestamped. The finished PDF is sealed with a SHA-256 hash and an embedded PAdES-B signature, so if a single character is altered after signing, the seal no longer matches and any compliant reader flags the file as changed. For a whole policy rollout you can export the complete acknowledgment record for the company in one go. Nothing is auto-deleted, so an acknowledgment you collected years ago stays accessible with its proof intact for the next audit.
Yes. Keep employment agreements, handbook acknowledgments, and policy forms as templates with merge fields for name, role, start date, and location, so each new hire's documents generate in seconds instead of being edited by hand. You can duplicate a template to branch a version per role or per office, for example a different agreement for a contractor versus a full-time employee, or a region-specific policy, without touching the original. For a business that hires regularly, this turns onboarding paperwork into a two-minute job: pick the template, fill the new hire's details, and send. The free plan includes reusable templates, and paid plans raise the limit as your HR document library grows across roles and locations.
No. Employees open a secure link from their email and sign directly in the browser on any phone, tablet, or laptop, with nothing to install and no account to create. They review the document, agree to the electronic-signing consent, and sign by typing or drawing, producing the same legally binding signature and the same audit trail they would get from any other method. This keeps a company-wide rollout from stalling: an employee who is travelling, remote, or in another time zone can acknowledge a policy in minutes from any device. The signing experience carries your own branding, so it feels like signing with your company rather than through a vendor, and the only person who needs a Document eSign account is the HR sender who builds and routes the documents.
Yes. Signing runs entirely in the mobile browser, so every employee can review and sign an HR document from a phone or tablet with nothing to install and no app to download. The employee taps the secure link in their email, reviews the handbook, agreement, or policy, agrees to the consent wording, and signs by typing or drawing, producing the same legally binding signature and audit trail they would get on a laptop. This matters for a distributed or frontline workforce where many people do not sit at a desk: a warehouse, retail, or field employee can acknowledge a new safety policy from their phone the same day it goes out, and the sealed, dated copy lands back in your workspace the moment they sign.
