Create a public signing link

Publish a template as a link anyone can open. The visitor fills one role and signs on the spot, and the co-signers you named are emailed in turn.

A public link turns one of your published templates into a URL anyone can open and sign, with no account and no invitation email. They fill the one role you left open, and any co-signers you named in advance are emailed their turn once the visitor has finished.

Who can do this

Available on Business and above. You can publish a link for any template you are allowed to manage: admins for every template in the workspace, managers for their teams', members for their own.

  1. Open Public links in the sidebar and click Create public link. You can also start from a template's row menu, where the item is called Create public link as well.

  2. Pick a template. Only published templates appear in the list, so publish yours first if it is missing. What comes out is the same document you would get by sending from that template by hand, except the visitor types their own details.

  3. Type a Link name. It is for your reference and signers never see it.

  4. Under Who opens the link? choose the role the visitor fills. That role gets a Visitor badge.

  5. Give every remaining role a full name and a valid email. These are your pre-assigned co-signers.

  6. Click Create link. You land on the link's page with the URL ready to copy.

What the visitor sees

Your URL looks like documentesign.com/start/ followed by a short code. Opening it shows the document name, a Full name box, an Email address box and a Continue to signing button. One click later they are in the signing view.

Signing order on a public link is always in sequence, with the visitor first. That is deliberate: the visitor is standing there right now, and each co-signer is emailed only once the person before them has finished. Every visit creates a separate document, listed on the link's Documents tab. To put the same flow on your own page, see embed a public link on your website.

Cap it, date it, or switch it off

Open the Settings tab for the controls that limit a link's reach.

  • Max uses stops the link once that many documents have been created from it. Leave it blank for unlimited. You cannot set it below the number already used.
  • Expires offers Never expires or Expires on a date, with a date and a time in your workspace timezone.
  • Custom heading and Custom message replace the default text on the landing page.
  • Redirect after signing sends the visitor to a page of your own once they finish.

In the header, Disable switches the link off while keeping the URL, Reset link mints a fresh URL and kills the old one, and the bin icon deletes the link entirely. A used-up, expired or disabled link shows the visitor a short notice telling them to contact whoever shared it.

If something goes wrong

  • Enable is greyed out. Its template is no longer published. Publish the template again and the button comes back.
  • A visitor reports "This form isn't ready to sign yet." One of the template's signer roles has no signature field. Fix the template, and the same link starts working.
  • "This form is temporarily unavailable." Your workspace has hit its monthly document limit, so the link cannot create anything new until the cycle resets or you move up a plan. Template limits by plan sets out what each plan allows.
  • The link says it has reached its limit. That is Max uses. Raise the number in Settings, or clear the box for unlimited.
  • A colleague cannot see the link you made. Public links follow template permissions, so a member only sees links for templates they created.

Frequently asked questions

Does the person who opens the link need an account?

No. They type a full name and an email address on the landing page, click Continue to signing, and go straight into the document. Nothing is created for them beyond the envelope itself, and their signed copy arrives by email like any other signer's would.

Can two people open the same link at the same time?

Yes. Every visit creates its own separate document, so ten people opening one link produce ten envelopes with ten different visitors. Use Max uses when you want a hard ceiling on that number, and the Documents tab to see each one.

What is the difference between Disable and Reset link?

Disable switches the same URL off, and enabling it later brings that URL back. Reset link generates a brand new URL and kills the old one for good, which is what you want after a link has been shared further than you intended.

Does deleting a link delete the documents it created?

No. The link stops working right away, but every document it already produced stays in your account and keeps signing normally. Those documents stop being tied to the link, so they no longer appear on its Documents tab or count towards its usage total. Deleting cannot be undone, so disable the link instead when you might want it back.

Why can I only leave one role open?

Because only one person is standing in front of the link. Every other role needs a name and an email at setup time so the envelope knows who to email next. A template with a single signer role works fine, with that one role open.
