Set a template's email and sending defaults

Set the subject, message, signing order, expiry, auto-remind and completion redirect once on the template, and every document sent from it inherits them.

Everything a document from this template starts with lives on one screen. Once you have created the template, open it, click the Settings tab, and you get two cards: Email for the subject and message recipients see, and Routing & reminders for the signing order, reminders, expiry and completion redirect.

Who can do this

Whoever created the template, a manager over their team, or a workspace admin. Everyone else sees the same values read-only, and an archived template is read-only for everybody until it is restored.

Change the template email subject and message

  1. Open the template from Templates and click Settings.

  2. Edit Email subject. Leave it blank and it falls back to the standard one, which is the template name followed by "- Please sign".

  3. Edit Message. This is the body of the signing request, so write what you would actually say to the recipient.

  4. Click Save preferences.

A short toast confirms with "Email defaults saved". Back on the Summary tab you will see a Custom message badge instead of Standard subject & message, with your subject and the first few lines underneath.

Set the template's signing order, reminders, expiry and redirect

The second card holds four settings, and one Save preferences button covers all of them.

  • Signing order. In sequence notifies recipients one after another in the order the roles are listed. All at once sends to everybody together. More on the difference in sequential vs parallel signing order.

  • Auto-remind. Switch it on and pending signers are emailed on your workspace's schedule, which the card spells out, for example every 72 hours up to 3 reminders. Growth and above.

  • Default expiry (days). Blank hands it to the workspace default from Settings > Policies. If that is empty too, documents from this template never expire. The box shows Never as its placeholder either way, so read the Expiry line under Defaults on the Summary tab for the number actually in force. Any number from 1 to 3650 applies to this template only.

  • Redirect URL on completion. Where a signer lands after finishing. Must start with https://. Business and above.

Click Save preferences and a toast reads "Sending defaults saved".

What happens next

Nothing changes for documents already sent. From the next send from this template onwards, each document created from it copies the subject, message, signing order and auto-remind setting at the moment it is created, then works out its own expiry date from the number of days set here.

Anyone reading the template page sees the current values under Defaults, so a colleague using your template knows what the recipient will get before they send.

If something goes wrong

  • "Redirect URL must start with https://" Nothing saves until you fix it. An http address or a bare domain is rejected on purpose, since signers are being sent there from a signing session.
  • The Settings tab shows a plain read-only summary. You are not a manager of this template, or it is archived. Restore it, or ask the owner to make the change.
  • Auto-remind is missing entirely. Reminders are switched off workspace-wide in your organisation's settings, so the per-template switch is hidden rather than showing a promise that would not be kept.
  • The subject reverted to the standard one. An empty subject or message is replaced with the standard text on save. Put something in both boxes if you want your own wording.

Frequently asked questions

What is the standard subject and message?

The subject is the template name followed by "- Please sign", and the message is a short note asking the recipient to review and sign that document. While both are untouched, the template page shows a Standard subject & message badge. Change either one and the badge switches to Custom message.

Can the sender change these when they send?

Not from the Use template dialog, which only collects names and emails. The document created from the template does carry the subject and message, so a sender who needs different wording can send the document normally instead, or you can keep a second template for that wording.

What does leaving Default expiry blank do?

It hands the decision to your workspace default, so documents expire that many days after being sent. If the workspace has no default either, they never expire. The box keeps Never as its placeholder whatever the workspace holds, so read the Expiry line on the Summary tab. Any number from 1 to 3650 overrides it here.

Why is Auto-remind greyed out with a Growth chip?

Automatic reminders are part of Growth and above. On Free the switch is locked and hovering it opens a panel explaining the feature. If your workspace has turned automatic reminders off for everyone in its own settings, the switch is hidden here instead of shown as off.

Where does the redirect send a signer?

To the URL you set, right after they finish signing, instead of the standard completion screen. It has to start with https:// and it beats the workspace-wide setting. Available on Business and above, and a per-document override still wins over the template value.
