Review and send: subject, message, expiry and reminders

The last wizard screen before an envelope goes out. Edit the email subject and message, set a deadline, turn reminders on, then send.

The review step is the last screen before an envelope leaves. It holds the email your recipients will read, a summary of the files and people on the document, and the settings that decide how long the link lives and whether anyone gets chased.

What is on the review step

The left column is a summary you can still fix. Documents lists every file with its size, Recipients lists everyone with their role, field count and (when there is more than one) an In sequence or All at once pill. Both cards have an Edit link back to the step that owns them.

Below that sit the two things recipients actually see: Email subject and Message to all recipients.

Send settings, on the right, is where the behaviour lives.

Review and send, step by step

  1. Check the Documents and Recipients cards. Anything wrong, click Edit on that card rather than starting over.

  2. Edit the Email subject. It arrives pre-filled as your document name followed by "- Please sign", up to 200 characters.

  3. Rewrite the Message to all recipients if the default note does not fit. It goes to every signer and CC on the envelope, up to 2000 characters.

  4. Set Expiry. On, and the signing links stop working that many days after sending; off, and the envelope reads "This envelope will not expire." A fresh draft starts at your workspace's default, and the day count accepts 1 to 365.

  5. Turn Auto-remind on to have pending signers chased for you. The line under the toggle names the real cadence, for example "Email pending signers every 3 days, up to 3 reminders", both of which your workspace admin sets. Automatic reminders need Growth or above.

  6. Click Send for signature.

Team and Redirect on completion appear in the same panel when your workspace uses them. Save & exit in the header keeps the subject, message, reminder and expiry choices on the draft if you stop halfway. What happens next

Signers get the email you wrote, one at a time on a sequential envelope or all together on a parallel one, and the document moves to In progress in your Documents list. Your subject line becomes the subject of their signing request, so a vague one is the fastest way to get ignored.

If you set an expiry, the deadline is measured from the send, not from when you wrote the draft. Reminders begin only after the interval has passed with no signature, and they stop the moment someone signs.

If something goes wrong

  • "One or more signers have no signature field." Someone on the envelope has nothing to sign. Go Back to prepare, switch the tray to that recipient, and place a signature for them.
  • "Add at least one signer recipient before sending." Every row is a CC. A CC receives the finished copy and signs nothing, so at least one row has to be a Signer.
  • The Auto-remind row is missing entirely. Your admin turned automatic reminders off for the whole workspace under Settings > Policies. Manual reminders from the document page still work.
  • The expiry box snaps back to a different number. It clamps to the 1 to 365 range, so 0 becomes 1 and 400 becomes 365.
  • The Team dropdown is not there. Your workspace has no teams yet. See Share a document with your team.

Frequently asked questions

What does the email subject default to?

It is the document name followed by "- Please sign". You can replace it with anything up to 200 characters, and recipients see exactly what you type. The message below it is a longer note to everyone on the envelope, capped at 2000 characters, and it appears in the body of every signing request.

How long does a document stay signable?

For as long as you set on the Expiry toggle, counted in days from the moment it is sent, with 1 to 365 accepted and a fresh draft starting at your workspace default. Turn the toggle off and the link never expires.

Why is the Auto-remind toggle greyed out?

Automatic reminders are part of Growth and above. On the Free plan the switch is greyed out, and resting your pointer on it brings up a small panel naming the plan that includes it. You can still nudge signers by hand from the document page once the envelope is out.

Can I change the subject or message after sending?

No. Once an envelope leaves, its email content is fixed so every recipient has the same record of what they were asked to sign. Cancel the document and send a corrected copy if the wording matters. A manual reminder is a separate, shorter email and does not repeat your note.

Do I have to fill in every send setting?

No. Subject and message are pre-filled, and expiry follows your workspace default. Team, reminders and redirect are optional, and anything your plan or workspace does not offer is hidden rather than shown broken, so a short panel is not a bug.
