Request attachments from signers

Ask a signer to upload a photo ID, insurance certificate or tax form alongside their signature. Up to five slots per signer, 10 MB each.

Click the paperclip on a signer's row and you can ask them for supporting files, such as a photo ID or a certificate, which they upload on the same page where they sign. Each signer gets up to five slots, 10 MB per file, and you decide which ones they cannot skip.

Who can do this

Anyone who can create and send a document. Available on Growth and above, so the paperclip opens an upgrade panel on Free; see plans and pricing. Signer rows only.

Ask a signer for files

  1. Get to Who needs to sign? in the wizard, or reopen a draft with Edit draft.

  2. Enter the signer's Full name and email, with the role left as Signer.

  3. Click the paperclip icon on their row.

  4. Name the first slot in the box that reads Attachment name (e.g. Photo ID). Be specific: the signer sees this label and nothing else, so "Driving licence, both sides" beats "Document". You get 80 characters.

  5. Choose an Allowed type. PDF or image is the default and suits most requests. PDF only and Image only tighten it, and Office docs covers Word, Excel, PowerPoint and CSV files as well as PDF.

  6. Leave Required on if the signer must not finish without it. Switch it off for a nice-to-have, which then shows as optional on their side.

  7. Turn on Include in final PDF if the upload should be appended to the signed document as extra pages. It stays greyed out for Office docs.

  8. Click Add another attachment for a second slot, up to five. The bin icon on any row removes it.

  9. Click Save. The paperclip picks up a badge with the number of slots, and the tooltip counts them back to you.

Save stays disabled while any slot has an empty name. Removing every slot and saving clears the request entirely for that signer.

What the signer sees

Their signing page lists the slots under the heading Files to upload, in the same Required items rail as their signature and form fields. Under each label sits the rule you picked and the ceiling, for example PDF or image · up to 10 MB, with · optional on anything not required.

They click the slot, pick a file, and a tick replaces the hint. A required slot that is still empty keeps the main button reading Upload files rather than Finish signing. See Attach files when signing a document for the signer's view of this.

Where the files land

Open the document from Documents and the Attachments section lists every slot, grouped by recipient, with the file name, size, and the time it arrived. Click Download beside a file to save it. Anything still outstanding reads Not uploaded yet. The header also carries an attachment count that scrolls you straight there.

Slots you marked Include in final PDF appear twice: once as a download, and again as pages appended to the completed PDF that everyone receives by email.

If something goes wrong

  • The paperclip opens an upgrade panel. Signer attachments begin on the Growth plan.
  • No paperclip on the row. That recipient is a CC. Only signers can be asked for files.
  • Add another attachment has vanished. Five slots is the ceiling per signer.
  • Include in final PDF will not switch on. The slot's type is Office docs. Word and Excel files cannot be merged into a PDF, so they stay as separate downloads. Switch the type to PDF or image if merging matters more than the format.
  • The signer says their file was rejected. Check the slot's rule against what they are sending. An Image only slot turns away a PDF, and anything over 10 MB is refused whatever the type.

Frequently asked questions

How many files can I ask one signer for?

Five slots per signer, each holding a single file of up to 10 MB. Once you have five, the Add another attachment button disappears. Ask a different signer on the same document for the rest, or request a combined PDF instead of separate pages.

What does Include in final PDF actually do?

A PDF or image uploaded into that slot is appended to the completed document as extra pages, so it travels inside the signed copy everyone receives. Leave it off and the file stays a separate download on the document page. The toggle is greyed out for Office docs, which are never merged.

Can I ask a CC recipient for a file?

No. The paperclip icon is hidden on CC rows, because a CC recipient never opens a signing page. Change the row's role to Signer if you need a file from that person, then set the slots as usual.

What file types can a signer upload?

Whatever the slot allows. PDF or image accepts PDF plus PNG, JPEG, WebP and HEIC. PDF only and Image only narrow that. Office docs accepts Word, Excel, PowerPoint, CSV and PDF. The signer sees the rule and the size limit printed under the slot name.

How do I get the files after everyone signs?

Open the document and look for the Attachments section, grouped by recipient. Each slot shows the file name, its size and when it arrived, with a Download button next to it. A slot nobody has filled yet reads Not uploaded yet.
