Place fields on your document

Drag signature, date and text fields onto the pages, assign each one to a recipient, then resize, duplicate or delete it. Every signer needs at least one Signature.

Fields are the boxes a signer fills in, and nothing goes out until each signer has at least one. Pick who you are placing for in the tray header, drag a tile onto the page, then nudge it into position.

Add a field

  1. On the Prepare step, look at the tray header: it reads Add fields for followed by a recipient. Click that name to switch to another signer. Each one has a colour, and every field you place inherits it.

  2. Drag a tile from the tray onto the page. A single click on a tile works too: the cursor picks the field up, and your next click on a page drops it there.

  3. Drag the field to where it belongs. Arrow keys nudge a selected field a pixel at a time, and holding Shift moves it ten.

  4. Pull the small handle in the bottom-right corner to resize.

Place fields for the first signer, switch recipient in the header, then do the next. A field that is not assigned to anybody sits there greyed as Unassigned and blocks Continue.

Change a placed field

  • The coloured chip is the signer. Click it to reassign the field to someone else on the document.
  • Next to it, a toggle reads Required or Optional. Click to flip it. Signature, Initial and Tickbox have no toggle, and neither do the auto-filled Name, Email and Date Signed.
  • Duplicate drops a copy a few pixels below, keeping the size, the signer and every setting.
  • Delete removes it. So does the Delete key on a selected field.

Cmd/Ctrl+C and Cmd/Ctrl+V copy a field and paste it onto whichever page you are looking at. Cmd/Ctrl+Z undoes the last change. The question-mark button in the tray header lists all of these.

Field settings

Clicking a field also opens Field settings in the right rail, named after the field type. On a phone, tap the gear in the field toolbar to reach the same panel.

Recipient and Required are there. The rest of the panel depends on the field type:

  • Placeholder - the grey prompt inside a text-style field.
  • Date format - how a Date Signed field prints the date.
  • Options (one per line) - the choices in a Dropdown or a Radio group.
  • Layout - Stacked or Inline, for Radio only.
  • Help text - a tooltip the signer sees on the field.

Delete field sits at the bottom of the panel.

Place fields across pages

Scroll the document to reach later pages, or open the Pages rail on the left and click a thumbnail. The counter above the document tells you Page 3 of 12 as you go. To move a field onto a different page, drag it there and drop; it keeps everything except its position.

Nothing repeats a field across pages for you. An initials box on every page means placing one on every page, which is what Duplicate plus a page jump is for.

If something goes wrong

  • "Drag or click a field to add it to the document." The page has no fields at all yet.
  • "2 fields are not assigned to a recipient." Click each greyed field and pick a signer from its chip.
  • "Jordan Lee has no fields assigned." Every recipient on the document needs something to do. Switch to them in the tray header and place a field, or drop them from the recipients step.
  • "Jordan Lee has no Signature field - place a Signature before continuing." A signer can have ten text boxes and still fail this check. Place a Signature for them.
  • "Dropdown field needs at least one option." Open the field, type the choices into Options (one per line), then click away from the box.
  • A field will not budge. You are dragging the resize handle rather than the field body. Grab it anywhere except the bottom-right corner.

Frequently asked questions

Why can I not make a Signature field optional?

Signature, Initial and Tickbox have no Required switch, because a field the signer can skip defeats the reason it is on the page. Delete the field if it is not needed. Text, Dropdown, Radio, Title and Company name all carry the switch and can be made optional.

How do I move a field to a different page?

Drag it off the page it is on and drop it on another. The field keeps its size, its recipient and its settings, and lands where you release it. For a long PDF, open the Pages rail on the left and jump to the page first, then drag.

Can two signers share the same field?

No, a field belongs to exactly one recipient. Where both people sign the same clause, place two Signature fields side by side and assign one to each. Duplicate the first field, then switch the copy's signer from its coloured chip.

What does the sparkle on some field tiles mean?

Those fields fill themselves in at signing time. Name, Email and Date Signed always do. Title and Company name fill only when the signer has a Document eSign account with those details on their profile, and stay as ordinary inputs for everyone else.

Continue shows an error instead of moving on. Why?

Something on the page fails the pre-send check. The message names it, whether that is a field with no recipient, a signer with no fields at all, a Dropdown with no options, or a signer missing a Signature. Fix the one it names and click Continue again.
