Add recipients to a document: signers and CC

Enter a name and email for each person, set the role to Signer or CC, and let the contact lookup fill in anyone you have sent to before.

On the Who needs to sign? step, give every person a name, an email and a role. Signer means they open the document and fill in fields; CC means they only receive the finished copy.

Add each person

  1. Type into Full name. Saved contacts appear underneath as you type, and clicking one fills the name and the email together.

  2. Enter the email if the contact lookup did not supply it.

  3. Pick the role in the dropdown at the end of the row.

  4. Click Add recipient for the next person. To put yourself in the list, click Add me as signer instead and your account details land in the first row.

  5. Remove anyone with the X at the end of their row, then click Continue to prepare.

Every row needs both a name and an email before Continue to prepare becomes available.

Recipients are saved to your contact book automatically when you move on, which is why the same people are one click away next time.

Add a CC when someone needs the paperwork on file without being party to it: a finance mailbox, or a colleague who has to store the executed copy.

What else sits on a signer row

Three icons follow the role dropdown:

  • Set access PIN (padlock) puts a six-digit code in front of that person's signing link.
  • Request attachments from signer (paperclip) asks them to upload a file such as an ID.
  • A speech-bubble marks SMS verification, which is not available yet.

The first two need Growth or above.

None of the three apply to a CC, so they disappear from a row the moment you switch its role.

Once every row is right, choose a signing order and then place the fields each person has to fill.

If something goes wrong

  • "Two recipients share an email." Each address can appear once per document. Delete the duplicate row.
  • Continue to prepare stays greyed out. A row has a name but no email, or the other way round. Fill it in or remove it.
  • "Please enter a valid email address for ..." A typo in the address, usually a missing dot or an extra space.
  • "Maximum of 10 recipients per document (signers + CCs)." The list is full. Split the send in two, or move an observer off the document entirely.
  • A message about your plan's recipient limit. Free and trial workspaces stop at five recipients. See Plans and limits at a glance for what each plan allows.
  • Add me as signer is greyed out. Your email is already on a row, or you have hit the recipient limit. Hover the button and the tooltip says which.

Frequently asked questions

What is the difference between Signer and CC?

A signer gets a personal signing link, fills in the fields you place for them and can be reminded until they finish. A CC signs nothing and gets no link. They receive the completed PDF once the last signer is done, plus a notice if the document is declined, cancelled or expires.

How many recipients can one document have?

Ten in total, counting signers and CCs together. That is the product ceiling on every paid plan. Free workspaces and workspaces still inside a trial are capped at five, and the tenth row replaces the Add recipient button with a line naming the limit.

Can I send a document to myself?

Yes. Click Add me as signer and your account name and email drop in as the first signer row, fully editable and removable. The button greys out once your address is in the list, since a second copy of the same email is rejected as a duplicate.

Where do the suggested contacts come from?

Anyone you have sent to before. Every recipient is saved to your contact book when you leave the recipients step, so the name field shows your recent contacts as soon as you click into it and searches the whole book once you type two characters.

Can two recipients share an email address?

No. Each row needs its own address, and the wizard blocks Continue with "Two recipients share an email" if two match. If one person has to sign twice, place both sets of fields on the single row for them rather than adding them again.

Why do the lock and paperclip icons vanish on a CC row?

Both belong to signers. An access PIN protects a signing link and a CC never gets one, and an attachment request is filled in on the signing page, which a CC never opens. Switch the row back to Signer and both icons return.
