Send your first document for signature

Upload a PDF or Word file, add who signs, drag signature and date fields onto the pages, write the email, and click Send for signature. Four steps, a few minutes.

Click Send for signature in the top bar, drop in your file, add the people who sign, drag fields onto the pages, then confirm on the review step. It takes a few minutes and recipients need no account.

Steps to send a document for signature

The wizard has four screens. Each one below restarts its numbering.

1. Add the document

  1. Click Send for signature in the top bar. You land on the Add a document step.

  2. Drop a file into the upload area or click Upload. You can also pick a file from Google Drive, Dropbox or OneDrive. PDF, Word and images are accepted, up to 25 MB each and up to 10 files per envelope.

  3. Wait for each file to show as ready, then click Continue to recipients.

The document takes its name from the first file. Click the title in the header to rename it. If nobody else needs to sign, click I am the only signer instead (see Sign a document yourself).

2. Add recipients

  1. Under Signing order pick In sequence (one after another, in the listed order) or All at once (everyone at the same time).

  2. Fill in Full name and email for each person. Set the role to Signer for anyone who signs, or CC for someone who only receives the finished copy.

  3. Click Add recipient for more people, or Add me as signer to add yourself. A document holds up to 10 recipients.

  4. Click Continue to prepare.

3. Place fields

  1. In the right-hand tray, pick which recipient you are placing fields for. Each recipient gets a colour.

  2. Drag a field tile onto the page, or click the tile to drop it at the centre. Start with Signature and Date Signed. Name, Email, Text, Tickbox, Dropdown and Initial are there too.

  3. Click a placed field to change its signer, make it optional, or resize it. Repeat for every signer.

  4. Click Continue.

Name, Email and Date Signed fill themselves in when the signer opens the document.

4. Review and send

  1. Check the Email subject (it defaults to the document name followed by "Please sign") and write a Message to all recipients.

  2. Under Send settings, turn Expiry on if you want the signing link to stop working after a set number of days. Turn on Auto-remind if you want unsigned recipients nudged automatically. Both are optional.

  3. Click Send for signature.

What happens next

Every signer (or the first one, if you chose In sequence) gets an email with a personal signing link. From there they work through their fields in the browser or on a phone. You get one email with the completed PDF when the last person is done. Until then the document page shows who has signed.

The document shows in Documents as In progress until everyone has signed, then Signed. Open it there to send a reminder or download the signed copy and audit trail. See Document statuses explained.

If something goes wrong

  • "This file type isn't supported." Only .pdf, .doc, .docx, .png, .jpg and .jpeg are accepted. Export spreadsheets and presentations to PDF first.
  • "File is too large. Maximum size is 25 MB." Compress the PDF or split it into two files. Both go in the same envelope.
  • Continue to recipients stays disabled. A file is still uploading or failed. Wait for every row to say ready, or remove the failed one with the X.
  • Continue to prepare stays disabled. Every recipient row needs both a name and an email. Remove any half-filled row.
  • "... has no fields assigned." Each signer needs at least one field. Switch to that recipient in the tray and place a Signature field for them.
  • "You've used all your documents for this month." The Free plan has a monthly sending cap. The dashboard shows how many are left; see Plans and limits at a glance.

Frequently asked questions

What file types can I send?

PDF, Word (.doc and .docx), PNG and JPG, up to 25 MB per file and up to 10 files in one envelope. Word files and images are converted to PDF when you upload them, and several files are merged into one document that recipients page through in order.

Do my recipients need a Document eSign account?

No. Each signer gets an email with a personal link. They open it, review the document, fill in their fields and finish, all in the browser or on a phone. Only the sender needs an account. CC recipients receive the finished copy without signing anything.

What is the difference between In sequence and All at once?

In sequence sends the document to the first signer only; each next signer is emailed when the previous one finishes, in the order you listed them. All at once emails everyone immediately and they sign in any order. Use All at once unless the order matters.

Can I sign the document myself as part of the same send?

Yes. On the recipients step click Add me as signer. You are added as an ordinary signer row, which you can reorder or remove like any other. If you are the only person signing, use I am the only signer on the upload step instead. That skips recipients entirely.

Can I change the document after I have sent it?

Not the file or the fields. Once sent, the document is locked so every signer sees the same thing. You can still remind or reassign signers, or cancel the document and send a corrected copy. Drafts you have not sent yet can be edited freely.
