Join an existing workspace: invite, domain match, or request

Accept an admin's invite, join automatically with a matching company email, request access and wait for approval, or restore a workspace scheduled for deletion.

There are three ways in. An admin invites you by email and you click Accept invite & sign in. You sign up with a matching company email and click Join. Or you request access and an admin approves it. A fourth page, Restore workspace, brings back a workspace scheduled for deletion.

Accept an invite

  1. Open the invitation email and follow the link. The page shows YOU'VE BEEN INVITED TO, the workspace name and your Role.

  2. Check First name and Last name.

  3. If you are new, set a Password and Confirm password. If the address already has an account, there are no password fields and you accept with the password you already use.

  4. Click Accept invite & sign in.

You land on the workspace's dashboard, signed in. Invite links work for seven days. Admins send them from Team (see Invite teammates and manage seats).

Join by matching company email

Sign up as normal with your work address. If the domain is already registered to a workspace, the form is replaced by a card naming it.

  • Auto-enroll is on for that workspace: the card reads "yourcompany.com is registered to this workspace" with a Join button that names the workspace. Click it, confirm the 6-digit code we email you, and you are in as a Member. No approval step.
  • Auto-enroll is off, or the workspace has no seat free: the card reads "yourcompany.com belongs to" the workspace with a Request to join button that names the workspace. Click it and go to the next section.

Google and Microsoft sign-ups get the same choice on a Join your team. screen. Admins pick the mode under Settings > Policies (Let colleagues join by email domain). Personal mail domains are never matched.

Request to join

  1. Click Request to join. With an email and password sign-up, we first email you a confirmation link that is valid for 24 hours. Open it to confirm the address. Google and Microsoft sign-ups skip this.
  2. The Join request page shows Request sent and then Awaiting admin review. Admins are emailed at the same time.
  3. Wait for the decision email. Approved: click Sign in with the password you chose (or Google or Microsoft). Declined: submit a new request or sign up with a different email.

Admins see "1 person wants to join your workspace" on their dashboard and decide under Team > Join requests. Approved requesters join as Members.

When no admin has been active

If every admin of the matching workspace has been inactive for over 60 days, the card says so and offers two routes. Request to join works as above, though a reply may be slow. Claim this workspace opens a short form for our support team, who reply by email. The page then shows Request received.

Restore a deleted workspace

When an admin deletes a workspace, every admin gets an email with a restore link. Open it and click Restore workspace. Members can sign in again and the documents are back, though the workspace returns on the Free plan. The link works once and only for 14 days after the deletion. If something goes wrong

  • "Invalid invite" or the invite page will not load. The link expired (seven days) or was revoked. Ask the admin to resend from Team.
  • "Passwords do not match." Retype both password fields; they must be identical.
  • "That email already has an account. Try signing in instead." Sign in, then ask the admin for an invite. It adds the workspace to your existing account.
  • "This link has expired. Please start the join again from sign up." The 24-hour confirmation link ran out. Sign up again with the same email and click Request to join for a fresh one.
  • "A pending request already exists for this email." You have already asked. Check your inbox for the confirmation or status email.
  • The restore link says it doesn't work. It was already used, or more than 14 days have passed. Contact support with the workspace name.

Frequently asked questions

How long does an invite link last?

Seven days from the moment the admin sends it. After that the page reports an invalid invite and asks you to have the admin resend. A resent invite is a fresh link with a new seven-day window; the old one stops working as soon as the new one is issued.

I already have an account. Do I need a new password to accept an invite?

No. When the invited address already has an account, the invite page skips the password fields and says you can accept using your existing password. Click Accept invite & sign in and the workspace is added to your account alongside any you already belong to.

Why was I offered to join a workspace instead of creating my own?

Because your email domain is already registered to that workspace. Company domains are claimed by the first workspace created with them, so colleagues are routed to it rather than ending up in separate workspaces. To create a separate one, sign up with a different email address.

How long does a join request take to be approved?

As long as an admin takes to act on it. Admins receive an email and see a banner on their dashboard until they approve or decline. You receive an email either way, and the status page from your confirmation email shows Awaiting admin review, Approved or Declined at any time.

What does "Claim this workspace" mean?

It appears when no admin of the workspace on your domain has signed in for over 60 days. You can still request to join, but if the original team has left you can ask our support team to transfer ownership to you. Fill in the short form and we get back to you by email.
