Set your default signature and initials

Save a signature once from the dashboard, add initials under Settings > Profile, and both are pre-selected every time you sign a document.

Click + Add signature on the dashboard. Draw, type or upload your signature, then click Save as default. From then on it is pre-selected every time you sign. Initials work the same way from Settings > Profile.

Everyone can do this on every plan. Saved signatures belong to you, not the workspace.

Set your default signature

  1. On the dashboard, click + Add signature next to the greeting.

  2. In the Set default signature dialog pick a tab:

    • Draw - sign with a mouse, trackpad or finger. Clear starts over.
    • Type - enter your Full name and choose one of the script styles shown underneath.
    • Upload - pick a PNG, JPG or WEBP image up to 2 MB.
  3. Click Save as default.

Your dashboard now shows the signature image where the button was. Click it any time to replace it. Once you have saved more than one, the dialog gains a Saved tab so you can switch between them without drawing again (Reuse a saved signature).

Add your initials

That dashboard shortcut only covers the full signature. Initials live with the rest of your saved items:

  1. Open Settings > Profile and find the Saved signatures card.

  2. Click Initials.

  3. Create them the same way as the signature and click Save.

Your first set of initials becomes the default on its own. Add more and click Make default on the one you want pre-selected. The same card also takes a Stamp (upload only) and extra Signature entries, and the trash icon removes any of them after a Delete this saved item? confirmation. Manage saved signatures goes through that card in detail.

What happens next

Next time you sign a document while logged in, the signature dialog opens on the Saved tab with your default already selected. Click Use this signature and carry on. A signature field, an initials field and a stamp field each pick up their own default. Tick Apply to all my signature fields in that dialog to fill every one of your signature fields in the document at once.

Fields named Name, Email and Date Signed fill themselves from your profile, so with a default signature in place most documents take a couple of clicks.

If something goes wrong

  • The Save button stays disabled. The canvas is still empty. Make at least one stroke on Draw, or enter a name on Type.
  • "This file type isn't supported." Signature uploads accept .png, .jpg, .jpeg and .webp only. Export from a PDF or convert the image first.
  • "File is too large. Maximum size is 2 MB." Crop to the signature itself and re-save.
  • The uploaded signature looks like a grey box. Almost always a JPG photo of paper taken on a phone: the camera records the sheet as light grey, and that grey rectangle is placed on the page along with the ink. Retake it in brighter light or bump the brightness until the paper is pure white, or save the signature as a PNG with a transparent background.
  • Initials are not pre-selected when signing. No initials are saved, or none is marked Default. Open Settings > Profile and click Make default on one.
  • The dashboard still shows + Add signature after saving. Reload the page. If it persists, the save failed; try again and watch for the "Signature saved" confirmation.

Frequently asked questions

Where is my default signature used?

Whenever you sign a document while logged in. The signature dialog opens on the Saved tab with your default already selected, so you click Use this signature and move on. It applies to documents you receive from others and to documents you sign yourself as the sender.

Can I have more than one saved signature?

Yes, as many as you like, plus initials and stamps. Add them under Settings > Profile in the Saved signatures card. Only one signature and one set of initials can be the default at a time. Click Make default on any card to switch which one is pre-selected.

What image files can I upload as a signature?

PNG, JPG or WEBP up to 2 MB. A dark signature on a plain white or transparent background works best, because it is placed straight onto the page as-is. Photograph a signed white sheet in good light, crop tightly, and upload that if you have no scanner.

Is my signature shared with my workspace or other members?

No. Saved signatures belong to your user account, not the workspace. Nobody else in your team can see or use them, and they follow you if you belong to more than one workspace. Admins cannot set a signature on your behalf.

What happens if I delete my default signature?

Another saved signature of the same type, if you have one, becomes the default automatically. If it was your only one, the dashboard goes back to showing the + Add signature button and the signing dialog opens on the Draw tab until you save a new one.
