Send emails from your own address

Verify one address at your own domain and every signature request, reminder and completion notice leaves from it instead of ours. No DNS records needed.

Go to Settings > Advanced features > Custom email sender, type the address you want to send from, and click Send confirmation email. Someone with access to that inbox clicks the link inside, and from then on your signature requests, reminders and completion notices all leave from your address instead of ours.

Who can do this

Workspace admins only. Available on Business and above. Managers and members never see the Advanced features section in Settings.

Verify your sending address

  1. Open Settings > Advanced features, find Custom email sender under Email & branding, and click Configure.

  2. Fill in Sending email. This is the address your signers will see the mail arrive from, so a shared mailbox such as documents@yourcompany.com ages better than a personal one.

  3. Optionally set Email from name (optional), the label shown beside the address in an inbox. Leave it blank and your workspace name is used.

  4. Optionally set Reply-to address (optional), where replies should land. It can be any address at all, including one you have not verified.

  5. Click Send confirmation email.

  6. Open that inbox, find the confirmation email, and click the link in it.

  7. Come back to the page and click I clicked the link to refresh the status straight away.

What happens next

Until someone clicks the link, the page shows a Waiting for confirmation panel naming the address, with three buttons: I clicked the link, Send email again and Cancel. We also re-check every ten minutes, so the status flips on its own if you've walked away.

Once it lands you get a green Verified panel that spells out the exact from-line your signers will see. Every transactional email the workspace sends switches over at that point, with no per-document setting to remember. Your logo and brand color live on the Branding page, and the wording of each email stays wherever you left it in email template customization. Verifying a sender changes the from-line and nothing else.

You can edit the display name and the reply-to later without repeating any of this. Click Edit name / reply-to, change them, and click Save. Changing the address itself is a different matter, and it starts a fresh confirmation.

Every step here is recorded, so an admin can see who requested a sender and when in the workspace activity log.

If something goes wrong

  • The confirmation email never arrived. Check the spam folder for that mailbox first. Then click Send email again, remembering there is a five-minute wait between sends.
  • The page says Link expired. Confirmation links are good for 24 hours. Click Start over and a new one goes out.
  • The page says Sender turned off. The address stopped passing our daily re-check, so it is no longer usable as a from-line. Start the verification again with the same address, and check with whoever runs that mailbox if it keeps dropping out.
  • You typed the wrong address. Click Cancel while it's still pending, or Remove once verified, then start again with the correct one.
  • The page shows a coral Business chip. Your plan does not include this. The panel reads Available on Business and above with an Upgrade to Business button in place of the form.
  • Signers still see our address. Verification did not complete. A verified sender is the only state that switches the from-line, and the panel says Verified in plain words when it has.

Frequently asked questions

Do I need to add DNS records to my domain?

No. Verification is a single address, confirmed by clicking a link in an email we send to it, so nothing is added to your DNS zone. That also means you verify one mailbox rather than a whole domain, and each address you switch to needs its own confirmation.

How long is the confirmation link valid?

Twenty-four hours. After that the page reports Link expired and the only way forward is Start over, which sends a fresh confirmation. You can also resend before it expires, though there is a five-minute wait between sends so a double-click cannot flood the inbox.

Can I send from more than one address?

Not at once. A workspace holds a single verified sender, and adding a new address replaces the old one and its verification. Use a shared team mailbox rather than one person's inbox so the sender survives that person leaving the company.

What is the reply-to address for?

It is where a signer's reply lands when they hit Reply instead of clicking the button. Any address works, including one at a different domain and one you have not verified. Leave it blank and replies go back to the sending address itself.

What happens to my emails if I remove the sender?

They fall back to the Document eSign platform address immediately, and nothing else about them changes. Your logo, brand color and any customized wording stay exactly as they are, because those settings live on the Branding page and the email templates page rather than here.
