Customize signer email templates

Rewrite the subject and body of the seven emails your recipients receive, drop in variables like the document name, preview the result, and mail yourself a test.

Open Settings > Advanced features > Email template customization, pick an email from the tabs, and edit the text inside each named block. The pane on the right redraws as you type, and Send test mails you a real copy of the saved template once you have clicked Save changes.

Who can do this

Workspace admins, on Business and above. Below that the page shows a coral Business chip and an upgrade button in place of the editor.

Edit an email template

  1. Open Settings > Advanced features and click Configure on Email template customization.

  2. Pick a tab. It opens on Signature request, and the other six sit alongside it. A small dot on a tab means that email has already been customized.

  3. Edit the blocks in the left column. Each one is named for the part of the email it fills: Subject, Greeting, Intro paragraph, Button text, Expiry note, Disclaimer, and a few that only apply to certain emails such as Records note and Audit trail button. One card on Signature request is read-only. Sender message carries a lock icon and an Auto tag, because the copy comes from whatever note the sender types while creating the envelope.

  4. Insert a variable wherever you want real data. Click Variables on the block you are editing, or type an opening brace to bring up the same list, then pick an entry. Button-label blocks have no Variables button. They take plain text only.

  5. Check the preview on the right. It is the finished email, including your logo and brand color.

  6. Click Save changes.

  7. Type an address into Send test to and click Send test. Leave it blank to mail your own account. The test sends the saved template, so save your edits first or the mail arrives with the old wording.

Variables you can use

Every email offers Recipient name, Your workspace and Document name. Beyond that the list depends on which one you are editing:

A variable is stored as a token like {{documentName}} and swapped for the real value when the email goes out. The picker only lists what that email can actually resolve, which is why the completion notice doesn't offer an expiry date.

What you cannot change here

The shell around your words is set elsewhere. Logo, accent color and the sender label come from your branding settings, and the address on the from-line comes from your verified sending address. Button destinations are wired automatically, so an edit can't break a signer's link.

Three blocks are required on every tab: Subject, Greeting and Intro paragraph. Emails that carry a button need its label too, which means Button text on Signature request and Reminder, and Signed PDF button on Completion - large files (download links). Clear a required block and a red notice names it, with Save changes disabled until you fill it back in.

If something goes wrong

  • Save changes is greyed out. Nothing has changed on this tab yet, or a required block is empty. The red notice above the footer names the empty one.
  • A block will not accept your variable. That variable belongs to a different email. Open the Variables picker on the tab you are actually editing and choose from what it lists.
  • The test email never arrived. Check spam, then confirm the address you typed. Test sends take the same route as real signer mail, so a delivery problem here isn't limited to tests.
  • You edited the wrong email. Switch tabs. Unsaved work on each one is kept separately, and nothing is lost while you go back and fix it.
  • A rewrite reads badly in the wild. Click Reset to default on that tab. It only affects the email you are looking at.

Frequently asked questions

Which emails can I customize?

Seven. Signature request, Reminder, Completion, Completion - large files (download links), Declined, Cancelled and Expired. Each is a tab across the top of the editor, and each keeps its own wording, so editing one never touches the other six. The page opens on Signature request.

What happens if I use a variable that does not exist?

The editor will not offer it. Each email has its own short list of allowed variables, shown in the Variables picker for that tab, and anything outside the list is rejected when you save. Recipient name, your workspace and document name are available everywhere.

Can I change the button link or the layout?

No. Button destinations are wired for you, and the frame around the message, meaning the logo, the accent color and the footer, comes from your Branding settings. You control the words in each named block plus the subject line, which is where the voice actually lives.

How do I get a customized email back to its original wording?

Open that tab and click Reset to default. It restores the system wording for that one email only, and the dot on the tab disappears. Tabs you have not touched already read Already at default when you hover the button. There is no confirmation step.

Does the test email go to a real inbox?

Yes. Send test mails a genuine copy of the saved template, not the unsaved text on screen, and it defaults to your own address if you leave the field blank. So click Save changes first, then send the test to see how your subject line looks in a crowded inbox.
