Send reminders to signers
Nudge one signer by hand from the document page, or let auto-remind chase everyone on a schedule your admin sets once.
A reminder re-sends the signing request to one person, with the same link and no change to the document. Open the envelope, find the signer whose badge still reads Requested or Viewed, and click Remind on their row.
Who can do this
Anyone who can manage the document: the person who sent it, a manager over that person's team, or a workspace admin. Reminders are part of Growth and above. Setting the workspace-wide cadence is an admin-only job.
Send a reminder by hand
-
Open Documents and click the envelope. It has to be In progress, since a draft has nobody to chase yet.
-
Look under Signing order for the signer you want to nudge.
-
Click Remind on their row.

There is no confirmation dialog. The email leaves straight away, a reminder count appears under that person's address, and the button re-labels itself Remind (1/3) so you can see how much headroom is left.
Your signer gets an email titled "Reminder: please sign" with the document name, pointing at the link they already had. It repeats the deadline if the envelope has one. Your original covering message is not repeated, so a reminder reads as a nudge rather than a fresh request.
The reminder ceiling
Each recipient can receive three reminders by default. Manual clicks and automatic sends draw on the same counter, so an envelope that already auto-reminded twice leaves you exactly one nudge by hand.
Once a recipient is at the ceiling their button becomes a disabled Reminder limit chip, and hovering it says "Reminder limit reached (3 max per recipient)." Nothing resets that counter. If a signer genuinely needs another attempt, reassign them to the right address or cancel and send a fresh envelope.
Automatic reminders
Turn Auto-remind on in the Send settings panel while reviewing an envelope and pending signers get chased for you. The document page then shows "Auto-remind on" beside the status badge, so you can tell at a glance which envelopes are self-chasing.
Cadence is a workspace setting, not a per-document one. An admin opens Settings > Policies > Signing reminders and sets both numbers: how many reminders to send (up to four) and how long to wait between them, from 12 hours up to 7 days. New workspaces start at three reminders, one every 72 hours.

On a sequential envelope only the current-turn signer is chased, so nobody downstream is emailed early. And reminders stop the moment the document passes its expiry date, which is why the policies page warns you when the cadence you picked would outlast your default signing window.
The same Signing reminders block carries a switch for manual nudges. Turn that off and the Remind button disappears for everyone in the workspace. Automatic reminders keep running regardless.
If something goes wrong
- Remind is grayed out and the tooltip says it is not their turn yet. Sequential routing. That person has not been emailed at all, so there is nothing to repeat. They get their request when the signer ahead of them finishes.
- The button carries a small padlock next to the label. Manual reminders need Growth or above. The button still takes a click, and clicking it opens a panel naming the plan rather than throwing you off the document.
- No Remind button anywhere on the envelope. An admin has switched off manual nudges under Settings > Policies.
- One signer has no Remind button while the rest do. They are signing in person, so no link was ever emailed to them. Their host chases them in the room.
- The signer swears nothing arrived. Check the address printed under their name on the row, since that is exactly where it went. A typo is fixed by reassigning the slot, not by clicking Remind again.
Frequently asked questions
How many reminders can one signer get?
Three by default, and your admin can set anything from one to four under Settings > Policies. Manual and automatic reminders draw on the same counter, so two hand-sent nudges leave room for one more. At the ceiling the button turns into a disabled Reminder limit chip that names the number.
Do I have to wait between manual reminders?
No. There is no cooldown on the Remind button, so you can send one straight after another until the per-recipient ceiling stops you. Automatic reminders are the ones on a clock, and they respect the interval your workspace sets rather than the moment you last clicked anything.
Does a reminder change the signing link?
No. It re-sends the same link that signer already has, so an older email in their inbox still works. Nothing about the document changes either, which is why a reminder is safe to send when someone says they lost the original request.
Why can I remind one signer but not another on the same document?
Sequential routing only puts one person on the clock at a time. A signer still marked Waiting was never emailed anything, so their button sits disabled until the person ahead of them finishes. On a parallel envelope everybody is live at once and every row is remindable.
Do reminders stop once someone signs?
Yes, immediately. Automatic reminders only go to signers who are still pending, and they also stop once the document passes its expiry date rather than nagging past a dead deadline. A signed, declined or cancelled envelope sends nothing further to anyone.
