Send now or reschedule a scheduled document

A queued envelope keeps three controls until it fires. Send it early, move it to a new time, or drop the schedule and go back to a plain draft.

A queued envelope is still a draft, so nothing has been emailed and everything is still reversible. Open it and a banner reads "Scheduled to send" with the date and time, followed by Send now, Reschedule and Cancel schedule.

Who can do this

The sender, a manager over their team, or a workspace admin, on Business and above. Scheduled send is the gated part. Once a schedule is cancelled, the draft underneath behaves like any other and needs no plan at all.

Manage a schedule from the document page

  1. Open Documents and click the row with the Scheduled badge.

  2. Read the banner. Under the date it says the first signer will be emailed at that time and that nobody has been notified yet.

  3. Pick the action you want:

    • Send now dispatches immediately, clears the send time and moves the envelope to In progress. A "Dispatched" toast confirms it.
    • Reschedule opens the date and time picker in place. Change either, then click Save new time.
    • Cancel schedule removes the time and leaves the draft exactly as it was. Nothing is deleted and nothing is announced.

Save new time stays disabled until the moment you picked is at least a minute away. Going past your workspace lead-time limit is refused with a message naming the real maximum, which is 90 days unless an admin changed it under Settings > Advanced > Scheduled send.

The same actions from the Documents list

You do not have to open the document. On the Documents list a queued envelope shows a coral Scheduled badge, a "Sends" line under its name with the date, and a Reschedule button on the row that opens the same picker in a dialog.

Send now and Cancel schedule live in the row menu at the end of the row. Delete draft is deliberately absent while a schedule is set: cancel the schedule and it comes back, along with Edit.

What happens at the scheduled time

Dispatch checks for due envelopes every minute, so a send fires within about a minute of the time you set. From there it behaves like an ordinary send. Sequential envelopes email the first signer, parallel ones email everybody at once, expiry starts counting from dispatch rather than from when you queued it, and the status flips to In progress.

Two things can hold it back, and neither loses the document. A workspace that has used up its daily sending allowance has the envelope re-parked for the next day and it goes out then. A draft that fails the readiness checks, most often a signer with no signature field, stays queued and keeps retrying until you fix it or cancel.

If something goes wrong

  • "Pick a time in the future." The moment you chose is under a minute away. Push it out.
  • "Max 90 days from today." You went past the lead-time limit. The number in the message is the real one, and an admin can raise it to 365 days.
  • The banner is gone and the document says In progress. It already fired, or somebody used Send now. Stopping it now means cancelling the envelope, which emails every recipient.
  • Reschedule does nothing on a past date. Days before today and beyond the limit are grayed out in the calendar rather than rejected after the fact.
  • The time is right but the send is hours late. Check the timezone line under the picker. Scheduled times run in the workspace timezone, not the one on your laptop, and an admin sets it under Settings > Organization.

Frequently asked questions

Is a scheduled document already sent?

No. It is still a draft with a send time attached, which is why it carries a Scheduled badge instead of In progress. No email has left, no signing link exists, and nobody outside your workspace knows about it. The banner on the document says exactly that.

How late can I change my mind?

Right up to the minute it fires. Dispatch runs on a one-minute cycle, so anything you do before the clock reaches your time takes effect. Once the envelope has gone out it is a normal sent document, and stopping it then means cancelling, which emails everyone.

What is the difference between Cancel schedule and Cancel envelope?

Cancel schedule only removes the send time and hands you back an editable draft, with nothing sent and nothing announced. Cancel envelope is the destructive one, and it only appears on documents that are already out. A queued envelope never offers it.

Why did my scheduled send not go out on time?

Dispatch runs the same readiness checks a manual send does, so a signer without a field or a workspace over its sending limit holds it back. A daily send cap defers the envelope to the next day rather than dropping it. Open the document, fix what it names, then use Send now.

Can I edit the document while it is queued?

Not while the schedule stands. Edit is hidden on a scheduled draft, because changing the file or the fields would quietly alter what goes out later. Click Cancel schedule, make your changes, then set a new time from the review step and queue it again.
