Add and manage contacts

Your contact list is the address book behind the send wizard. Save someone once and their name and email drop into a recipient row from two keystrokes.

Contacts is your own address book, and its whole point is the recipients step of the send wizard. Type two letters into a recipient's name field, pick from the list that drops down, and both the name and the email are filled for you.

Who can do this

Everyone, on every plan. Your list is private to you, so two people in the same workspace never see each other's contacts.

Add a contact

  1. Click Contacts in the sidebar, then New contact.

  2. Fill in Name and Email. Those two are required.

  3. Title, Phone and Company are optional. Phone takes a country from the dropdown next to it and accepts digits, spaces, brackets, dashes and a leading plus.

  4. Click Add contact.

Most of the time you will not do any of that. Every recipient you name gets saved on its own when you send an envelope, use a template or run a bulk send, as long as the row has a name as well as an address. Adding by hand earns its keep when you want the extra columns filled in.

Find, edit and delete

The list carries Name, Title, Email, Phone and Company. Search matches names, email addresses and company names, and the sort dropdown offers Name (A-Z), Company and Recently added.

Click any row to reopen it for editing, then Save. To remove one, open the row's action menu and choose Delete. A confirmation names the person and spells out the consequence: they leave your address book, and documents already sent are unaffected.

How contacts fill the send wizard

On the recipients step, the name field is a lookup rather than a plain box. Click into it before typing and it offers Recent contacts, the people you dealt with most recently, so a frequent signer costs zero keystrokes. From two characters onward it searches instead, matching the start of a name or email first, then anything containing what you typed across names, emails and companies.

Use the arrow keys to move through the list and Enter to take the highlighted one, which fills the name and email cells together. Enter does nothing until you have arrowed into the list, so typing a brand new name and pressing Enter never grabs the wrong person by accident.

Bulk send has the same lookup in its grid cells with one difference: suggestions only appear after two typed characters, so tabbing across a ten-row grid does not pop a dropdown at every stop.

If something goes wrong

  • "A contact with this email already exists." That address is already in your book. Search for it and edit the existing row rather than making a second one.
  • "You can't add your own email as a contact." Use the wizard's own control for adding yourself as a signer instead.
  • Letters vanish as you type a phone number. The field keeps numbers and the usual separators, and drops everything else as you go. Thirty-two characters is the ceiling.
  • The dropdown never opens on the recipients step. You have no contacts yet. Send one envelope and the list starts building itself.
  • A contact you deleted still shows on an old document. Recipient details are copied onto the envelope when it is sent, so removing the address book entry leaves that record alone.

Frequently asked questions

Can my teammates see my contacts?

No. Each person's list is their own, even inside a shared workspace, so an address you save is never exposed to anyone else on the team. If two people send to the same client, each of them ends up with their own contact row for that client.

Do I have to add contacts by hand?

Rarely. Anyone you name as a recipient is saved automatically when you send, use a template, or run a bulk send, provided the row has both a name and an email. Adding one by hand is worth it when you want the title, phone or company stored too.

Why can I not save my own email address as a contact?

Because you are never your own recipient. The wizard has a dedicated control for adding yourself as a signer, which links the row to your account rather than treating you as an outside party. Trying to save it returns an inline message on the email field.

What happens to sent documents if I delete a contact?

Nothing at all. A contact is only an entry in your address book, so removing one has no effect on envelopes already sent, on signatures collected, or on any audit record. It only means the person stops appearing in the recipient autocomplete.

The autocomplete found nothing, but I know the person is saved.

Check the spelling of the first two characters. The lookup matches on the start of a name or email first, then widens to anything containing what you typed across name, email and company. A contact saved under a nickname will not answer to their legal name.
