Organize documents with folders

File a sent document into a folder, create folders as you go, rename or delete them, and filter the Documents list down to one folder at a time.

Folders are your own filing cabinet over the shared Documents list, and nobody else in the workspace sees them. You file a document from Move to folder, create folders in the same dialog as you need them, and pick one from the filter dropdown to narrow the list.

Who can do this

Anyone with an account, on any plan. Filing only applies to documents that have been sent, so a draft has no Move button until it goes out. Folders never leave your account, so if the point is to group a document for other people, share it with a team instead.

File a document into a folder

  1. Open Documents and click into an envelope that has already been sent to reach its document page.

  2. Click Move in the page header. From the list you can skip the detour and use More actions on the row, then Move to folder.

  3. Pick a folder from the dropdown and click Move.

  4. On your first document there are no folders yet. Click + Create new folder, type a name of up to 80 characters, and click Create & move to make the folder and file the document in one go.

To take a document back out, open the same dialog and click Remove from folder. That button is only active when the document is filed somewhere.

Rename or delete a folder

A small gear appears next to the filter dropdown on Documents once you have at least one folder. It opens Manage folders, where each row carries a pencil for Rename and a bin for Delete.

Deleting is safe. The confirmation names the folder and tells you how many documents are in it, and those documents stay in your account either way. They come out of the folder, nothing more.

Filter the list by folder

Open the dropdown reading All documents at the top of the list. Under a Folders heading you get every folder you have made, with the number of documents filed in each in brackets.

The folder filter stacks with the status tabs, so Signed plus a folder gives you the completed contracts in that folder alone. Filters live in the page address, which makes a folder view worth bookmarking.

If something goes wrong

  • No Move button on the document. It is still a draft. Send it first.
  • The gear for Manage folders is missing. You have no folders yet. Create one from Move to folder and the gear appears.
  • Creating or renaming a folder fails with a name error. Another of your folders already uses that name, capitals included. Pick something else.
  • The list went empty after you deleted a folder. You were filtered to it. The filter clears itself on the next load, or pick All documents from the dropdown.
  • A document is no longer in the folder you remember. You filed it somewhere else afterwards, and a document sits in one of your folders at a time. Filter by the other folders, or search for it by name.

Frequently asked questions

Can my colleagues see my folders?

No. Folders are personal to you, as the Move to folder dialog says. Everybody in the workspace files the same shared documents into their own folders, and nobody sees anybody else's filing. If you want a document grouped for other people, tag it with a team instead.

Why can I not move a draft into a folder?

Filing starts once a document has been sent, so the Move button and the Move to folder menu item are both hidden on a draft. Finish the draft and send it, then file the envelope. A scheduled draft behaves the same way until its send time arrives.

What happens to my documents if I delete a folder?

They stay exactly where they were. The confirmation dialog spells this out before you commit, saying the documents filed in that folder remain in your account and are no longer filed in a folder. You can file them again into a different folder at any time.

Can a document be in two folders at once?

Not for you. Each document sits in one of your folders at a time, and moving it to another folder takes it out of the first. Other people in the workspace can file the same document in a folder of their own, since folder filing never leaves your account.

Why did my new folder name get rejected?

You already have a folder with that name. Names have to be unique among your own folders, and matching is not fussy about capitals, so Contracts and contracts count as the same name. Names run up to 80 characters, which is plenty for something like Q3 renewals.
