Reassign a signer
Hand one signing slot to a different person after the envelope has gone out, without cancelling it or restarting the workflow.
Reassigning swaps one signer for another on an envelope that is already out, leaving every other recipient and the document itself untouched. Open the document, click Reassign on the row of the person who should not be signing, and name their replacement.
Who can do this
Anyone who can manage the document: the sender, a manager over that sender's team, or a workspace admin. Reassigning is part of Growth and above. The envelope must be In progress, and the row you are replacing must still be pending.
Reassign a signer

Open Documents and click the envelope.

Find the person under Signing order. Rows badged Signed, Declined or Forwarded are closed and offer no reassign action.

Click Reassign.

Fill in New recipient name and Email. The dialog names the person being replaced at the top and tells you plainly that their signing link is about to stop working.

Add a Note (optional) if the new person needs context, such as why the request landed with them.

Copied recipients cannot be reassigned, because a CC never signs. Change who receives a copy by cancelling and resending instead.
What each person sees afterwards

Your replaced signer gets no email. Their old link now lands on a page reading "This link has expired", which is the same wall a cancelled envelope shows, so nothing about the document leaks to someone who is off it. Their row stays visible on the document under a Forwarded badge, which is deliberate: the audit record has to show that slot changed hands.
The new signer receives an ordinary signing request as soon as the slot is live. On a parallel envelope that is right away. On a sequential one it waits for their turn to come round, and their row sits at Waiting until then.
Every field assigned to the old signer moves across and is emptied first, signatures included. That is deliberate. A signature captured under one person's identity must never end up printed beside another person's name. Any access PIN and identity check on the slot transfer as they were.
Your activity feed records the swap as "reassigned to someone else", with the name of whoever did it and the time. The certificate of completion carries the same event as "Reassigned by" and that person's name, so the finished PDF explains the change of hands without anyone having to remember it.
Reassigning versus a signer forwarding
Reassigning is something you do as the sender. Forwarding is the same handover started by the signer, from their own signing screen, when they open the request and decide it belongs with a colleague. Both end with a fresh recipient at the same slot and the original row marked Forwarded, so the finished audit trail reads the same either way.
If something goes wrong
- Reassign carries a small padlock next to the label. Reassigning needs Growth or above. The button still takes a click, and clicking it opens a panel naming the plan instead of the form, without moving you off the page.
- There is no Reassign button on the row. That person has signed, declined, or was already replaced once. Those states are final.
- "Reassign failed." The most common cause is an address the form will not accept. Check for a stray space or a missing domain and try again.
- The new person says no email arrived. On a sequential envelope, look at their badge first. Waiting means their turn has not started and no email was due yet.
- You reassigned the wrong slot. Reassign that slot again to the correct person. The chain of transfers is kept in full, so the record stays accurate even after two hops.
Frequently asked questions
Does the person I replaced get told?
No email goes to them. Their row stays on the document with a Forwarded badge so the record is honest, and their old link stops working, but the conversation about why they are off the envelope is yours to have. Tell them yourself if it matters.
What happens to fields the original signer already filled in?
They move to the new signer and are wiped clean. Anything typed or drawn was done under the first person's identity, so carrying it over would put their signature under someone else's name. The new signer re-enters every field, including ones that looked finished.
Does the replacement have to redo the PIN or identity check?
They inherit whatever the slot had. An access PIN carries across, so the code you gave the first signer still opens it, and any identity verification set on that recipient applies to the new person too. Nothing about the security of the slot loosens on a transfer.
Can I reassign someone who has already signed?
No. Signed, declined and previously reassigned rows are final, and the Reassign button is not offered on them. Their signature is already part of the record. If the wrong person signed, cancel the envelope and send a corrected one to the right people.
When does the new signer actually get emailed?
On a parallel envelope, immediately. On a sequential one, only if the slot you transferred is the current turn, otherwise they wait quietly until the signer ahead of them finishes. Your optional note rides along in that email in place of the original covering message.
