Forward a document to someone else

Hand your signing turn to the right person without cancelling the document. Available when the sender's workspace allows forwarding.

If you are not the right person to sign, open More options on the signing page, choose Forward to another signer, enter their name and email, and click Forward. They get a fresh signing link by email and your link is retired. The document itself carries on.

Who can do this

Any signer whose turn is open, provided the sender's workspace allows it. The sender needs Growth or above and must have Allow signers to forward switched on in their policies (it is on by default). When forwarding is not allowed, the menu item does not appear. Forwarding is also unavailable when the document is embedded in another website. In that case, decline or contact the sender.

How to forward a document to someone else

  1. Open the signing link, click Agree & continue and enter the access code or PIN if the sender set one.

  2. On the signing page click More options at the bottom of the field list (the three-dot More signing options button on a phone) and choose Forward to another signer.

  3. On the Forward to someone else page, fill in the new signer's Full name and their email address. Add an Optional message if you want to tell them why it is coming from you. Leave it blank and the sender's original note is used.

  4. Click Forward. Cancel takes you back to the document with nothing changed.

What happens next

You see a Forwarded page and can close the tab. The new signer receives a signature request email in the sender's name (not yours) with their own link, and any deadline the sender set still applies. Your fields move to them, emptied, so they enter every value and signature themselves.

For the sender, your row on the document page changes to Forwarded and the new person takes your place in the signing order. The activity feed and the audit certificate record who forwarded to whom and when. Once everyone has signed, the completed PDF goes to the sender and the people who actually signed; you are not on that list.

Your old link stops working the moment you forward. Opening it shows the expired-link page.

If something goes wrong

  • The menu has no Forward to another signer item. The sender's plan or policy does not allow it. Decline with a reason, or reply to the request email so the sender can reassign it from their side.
  • The page reads "Forwarding isn't available on this envelope." Same cause, caught a step later. Use the Back to signing link, then decline or contact the sender.
  • Forward fails with a message about your turn. An earlier signer in the order has not finished yet. The email saying the document is ready for you is your cue to try again.
  • The new signer says nothing arrived. Check the address you typed on the sender's document page (they can see it against your Forwarded row) and have them send a reminder. Spam folders catch signature requests more often than you would think.
  • You forwarded to the wrong person. You cannot take it back from your side. Tell the sender straight away. They can reassign the document to the right address, which retires the mistaken link.

Frequently asked questions

Why is there no Forward option in my menu?

The sender's workspace controls it. Forwarding needs the sender on Growth or above with Allow signers to forward switched on in their policies, and the menu item is hidden when either is missing. Ask the sender to reassign the document to the right person from their side.

Will the sender know I forwarded it?

Yes. The forward is written to the audit trail under your name, with the new signer's details and the time. On the sender's document page your row shows a Forwarded badge and the new person appears in your place. The sender is not asked to approve it, and the new link goes out straight away.

Does the new signer see anything I already filled in?

No. Anything you entered before forwarding is cleared, because it was entered under your name and must not be attributed to someone else. The new signer starts from a blank set of fields and enters everything themselves. That keeps the signed PDF and the audit trail accurate.

Can I forward a document that other people must sign before me?

Not until it is your turn. In a document with a signing order, forwarding is refused while an earlier signer is still outstanding. Wait for the request email that tells you the document is ready for you, open that link and forward from there.

Can the new person forward it again?

Yes, if the sender's workspace still allows forwarding. Each hop creates a fresh signing link for the next person and adds another entry to the audit trail, so the sender can follow the chain from the original recipient to whoever finally signs.
