Add or remove seats

Buy a seat for a new teammate, hand a seat back when someone leaves, and see exactly what each change costs before you confirm it.

Seats are billed per user, so every teammate in the workspace needs one. Open Settings > Billing, click Manage seats on the Current plan card, set the number you want, and the dialog tells you what it costs before anything is charged.

Who can do this

Workspace admins. Seats are part of Growth and above: Free is a single-person workspace, and Ultimate charges one flat price for everyone, so neither shows the seat controls. The same Manage seats button also sits on Settings > Team, next to the seat counter.

Add a seat

  1. Open Settings > Billing and click Manage seats.

  2. Raise New seat count with the plus button, or type the number you want.

  3. Check the panel underneath. Charge today is the prorated cost of the extra seats for the days left in this billing period, and the line below it names the date your renewal moves to.

  4. Click Add 1 seat (the button counts whatever you added).

There's a shortcut when you're inviting someone and have run out of room. Send the invite as usual from Settings > Team, following invite teammates and manage seats, and a dialog headed Add a seat to invite appears with the prorated amount already worked out. Add seat & send invite buys the seat and sends the invitation in one go. A Manager who tries the same thing sees No seats available and a note asking them to speak to an admin, since only admins can spend money.

Remove a seat

Removing a teammate and removing a seat are two separate jobs, and doing only the first leaves you paying for a seat nobody is sitting in.

  1. Remove the person from Settings > Team first. You can't reduce seats below the number of people in the workspace.
  2. Open Manage seats and lower New seat count.
  3. The panel now reads Credit on next invoice with the amount. Unused time on the seats you handed back is credited rather than refunded to your card.
  4. Click Reduce to 3 seats (again, the button names your target).

The Team page nudges you when this is worth doing. As soon as you're paying for more seats than you have people, the seat counter grows a reduce seats to save link that opens the same dialog.

What happens to a removed member

They lose access immediately. Every session is ended, so they're signed out of the app wherever they were logged in, and they're dropped from every team in the workspace.

Their work stays. Documents they sent, templates they built, contacts they owned and the audit trails behind all of it remain in the workspace, and any signature request already with a signer carries on to completion. Two removals are refused outright: you cannot remove yourself, and you cannot remove the last remaining admin.

Seats and plan changes

Switching plans re-counts your seats for you. A change from Growth to Business, or between monthly and yearly, bills for the number of people actually in the workspace at that moment, so empty seats are not carried across. The detail is in change or upgrade your plan.

Moving down a plan is the one case where headcount can stop you. If more teammates are in the workspace than the smaller plan allows, the switch is refused until you remove some. What each plan allows is worth checking first.

If something goes wrong

  • The minus button will not go any lower. You're at your current member count. Remove people from Settings > Team before reducing seats further.
  • The dialog says this workspace is not on a card-billed plan. Your plan is billed by invoice or is complimentary, so seats are arranged with us rather than bought here. Use the Contact support link in the dialog.
  • The dialog says a change is already on its way. Your last billing change is still being confirmed by your bank. Current seats keep working, and you can make another change once it clears.
  • The dialog says it is waiting on your bank. Cards issued in India confirm this kind of payment by hand, usually within two working days. The seat count updates by itself, and you have not been charged twice.
  • Your invite is refused even though a seat looks free. A pending invite already holds its seat from the moment you send it, so an unaccepted invitation counts the same as a member.

Frequently asked questions

Does removing a teammate lower my bill?

Not by itself. The seat they were using becomes empty but stays paid for until you reduce the seat count in Manage seats. The Team page flags this with a reduce seats to save link as soon as you are paying for more seats than you have people.

What happens to a removed member's documents?

They stay in the workspace. Documents that person sent, the templates they built and the audit trails behind them are all still there, and any signature request already out with a signer keeps running. What ends is their access, since they are signed out everywhere and dropped from every team.

How much does one extra seat cost mid-cycle?

The prorated share of your plan's per-user price for the days left in your billing period, and the dialog shows that exact figure before you confirm. The charge is taken straight away, so your renewal date moves to match and the new date is printed underneath.

Why can I not reduce my seat count?

You cannot pay for fewer seats than you have people. The stepper stops at your current member count and explains why. Remove the teammates you no longer need from Settings then Team, then come back and reduce the seats they were occupying.

I am on Ultimate and there is no Manage seats button. Why?

Ultimate is one flat price for the whole workspace with no per-user charge, so there are no seats to buy or return. Invite as many teammates as you need and the bill does not change. Seat controls are hidden on flat plans on purpose.
